What is business system?

Systems are a collection of people, processes and software that all work together to achieve a common goal and ensure tasks are completed efficiently and effectively. In a travel company, these systems are designed to ensure smooth operations, provide excellent customer service, and drive growth.

Why do we want systems in our business? 

We desire and require systems to be implemented because, when properly set up, they enable us to repeatedly perform tasks with increasing ease. Consistently following the same method ultimately defines the process, leading to significant savings in time and money.

Establishing the right systems allows you to focus your time and energy on growing your business and achieving your goals. This not only reduces pressure but also enables you to enjoy activities outside of work, like spending time with family.

1. Marketing (Lead Generation System)

Why this system is important

Lead generation is about bringing people into your business and converting them into sales. This process involves identifying potential customers, nurturing their interest, and ultimately persuading them to make a purchase.

What are the elements of this system?

  • People – a marketing person or collection of specialist contractors or agencies
  • Processes – the recipes (SOPs) for how marketing emails are sent, how social media content is planned, created, and shared, as well as when campaigns for specific promotions or holidays, are planned, created, and shared.
  • Software – the apps and websites used to plan, create and share marketing content. This would include your website, your email marketing software, your social media platforms, your blog etc. Any other tools use to create content, such as Canva or other design software and a social scheduling tool are all a part of this system.

2. Sales (Revenue Generation System)

Why this system is important

Revenue generation aka sales is all about converting leads into sales. This process involves identifying hot leads, resolving any concerns, and ultimately helping them buy your service or trip.

What are the elements of this system?

  • People – a sales person
  • Processes – the procedures (SOPs) for how sales calls are managed, sales emails are sent, how customer interactions are tracked and followed up
  • Software – apps and tools used to manage leads, track sales deals, record client interactions etc such as a CRM, voip calling, SMS service, email inbox, invoicing software, itinerary builders/ reservation systems etc.

3. Operations (Trip Delivery System)

Why this system is important

Having clear systems and SOP’s/operations manuals/tour briefs ensures safe delivery and helps meet your traveller’s expectations. Your trip delivery systems is how to run your group tour operations, your day trips, or manage gear rentals, but also how your guides deliver safety talks, handle accidents, delays, and generally all elements when clients are there in person.

What are the elements of this system?

  • People – an operations manager and/or team, guides, drivers and other field staff
  • Processes – the procedures (SOPs) or operations manuals for how to prep for trips, handle issues on trips, report on accidents, give safety talks, do post trip reports, deliver a specific tour, prep food, manage gear etc.
  • Software – apps used to manage team schedules, itinerary builders/ reservation systems, project management tool, trip costing, cloud folder, waiver signing, etc.
  • Equipment – physical tools, gear, vehicles, buildings etc required to deliver tours

4. Customer Service (Happy Clients System)

TThis system is vital for maintaining client relationships and driving repeat business, essential for sustainable growth in the travel industry. A well-structured customer service system enables teams to efficiently handle inquiries, resolve issues quickly, and provide personalized support, making each client feel valued throughout their journey.

What are the elements of this system?

  • People – Customer Support Representatives, Account Managers/Concierges, Tour Guides and On-the-Ground Staff, Supervisors/Managers
  • Processes – How to provide Pre-Trip Support including welcome emails and calls, itinerary guidance, packing lists, FAQs, and help with booking changes, upgrades, or cancellations. How to offer real-time solutions for delays, cancellations, or emergencies with on-the-ground assistance and communication via hotline or WhatsApp. How to gather feedback through surveys and reviews, addresses concerns, and encourages future bookings or referrals. Escalation Procedures for handling complex issues.
  • Software – apps to track customer interactions and maintain a detailed history of client preferences, past trips, and feedback (CRM) as well as manage and prioritize customer inquiries efficiently.

5. Financial (Money Management System)

Monitor operational costs, including payroll, marketing, and supplier payments. Streamline client payment processes for deposits and final balances. Manage vendor payments for hotels, transport, and guides efficiently.
